Guidelines for Managing Critical Path Email

Once an email account is created, people may find that they get large numbers of messages a day. How can you effectively manage all that mail with Critical Path? There are several ways you can manage your mail: by using IMP on the World Wide Web, downloading email to Outlook, Outlook Express, Eudora or Netscape Mail or by telneting into Critical Path Project Mail Server and using Pine.

Due to a new policy, all Critical Path Project mail inboxes will be cleared of email every 30 days in order to have space on the mail server for all Critical Path clients and to allow Critical Path Project staff to backup everyone's mail.

IMP

There are two ways within IMP to move mail from the inbox: using folders or downloading mail to your computer.

Using Folders

Email messages that are stored in folders in IMP will not be removed during our monthly cleaning sessions. These folders in IMP function just like folders on your computer where you can organize documents, notes, and letters.

How to Create a Folder

  1. Click on "Folders" located on the left side of the screen.
  2. In the field under "Folder Name" you can write down the name of the new folder you would like to create.
  3. Then simply click on the check mark above "Create this Folder." You will see the new folder appear in the white box titled "Selected Folders."

Moving Email into a Folder from the Inbox

  1. Select Message to Move: In your Inbox, select the message you would like to move out of the Inbox and into a folder by clicking on the little white box next to that particular message. It is selected when a check mark appears in the box.
  2. Select Folder: Choose the folder in which you would like to move a message to by clicking on the tiny arrow of the drop down box titled "Selected Mail To."
  3. Once the folder is selected click on "Move."

Moving Email into a Folder from an Opened Message

  1. In this case, the message is already selected.
  2. Select Folder: Choose the folder in which you would like to move message to by clicking on the tiny arrow of the drop down box titled "This Message To."
  3. Once the folder is selected click on "Move."

Downloading Email from IMP to Your Computer

When you download your mail to your computer, you are taking the message and saving it to a file on your computer. The mail gets stored on your computer and you can delete it from your email inbox. However once deleted, you can only view that message on the computer it was saved to. The message is no longer web-based. You can also save messages to a disk.

  1. Open a message by clicking on the subject of the message you want to open.
  2. Click on "Save As"
  3. Click on "Save" if prompted.
  4. Select the location on the computer where you would like to save your email
  5. Choose (A:) Floppy to save to a disk.
  6. Choose a file name for the email you would like to save
  7. Click "Save" to finish the process.
  8. You can now delete the email from your inbox.

OUTLOOK, OUTLOOK EXPRESS, EUDORA and Netscape Mail

Outlook, Outlook Express, Eudora and Netscape Mail are all programs that automatically download web-based email onto your computer and allow you many options for storing, sorting, and managing your mail. These mail programs automatically download whatever email is in your Critical Path Project mail server inbox. These programs are best for people who own their computer or work with the same computer all the time. All of these programs allow you to choose whether or not to download a copy of the email to the computer and leave the original on the Critical Path Project Mail Server. Remember, the original will be cleared every 30 days.

How Do I Set Up Outlook/Outlook Express to Get My Critical Path Email?

Open Outlook/Outlook Express

  • Go to Tools
  • Go to Accounts
  • Go to Mail
  • Click on Add

Follow instructions of the Wizard. It will ask you for the following information:

Incoming mail: pop.critpath.org
Outgoing mail: mailer.critpath.org
